VACANCY TITLE: Executive Assistant - CEO Front Office 

LOCATION: Rotterdam, The Netherlands.

LEVEL OF EFFORT: 40 hours per week 

ANTICIPATED START DATE: 01 June 2023

Executive summary

This is an exciting opportunity to work in the CEO Office of a high profile international organization working on climate change. The successful candidate will be required to interact and liaise with the private offices of world leaders, including Prime Ministers, Presidents, Ministers and heads of international organizations such as the United Nations and the World Bank. As such, a high standard of executive support and discretion is required, along with a passion for working in international relations and climate change. For a high-performing candidate there may be opportunities for future employment at GCA.


Responsibilities

  • Supporting the coordination of the front office working closely with the Principal Private Secretary (PPS);
  • Providing sophisticated calendar management for the CEO;
  • Ensuring the fast response-rate of the front office via phone or email regarding meeting requests;
  • Tracking and monitoring of meeting requests;
  • Keeping track of other requests on the CEO’s time, e.g. reviews of documents, signing of contracts, and correspondence;
  • Support to the PPS on key corporate meetings such as the Leadership team meeting and the Project Approval Committee (PAC);
  • Providing high-level, confidential administrative support to the office of the CEO (duties may be clerical, administrative and project-based);
  • Assisting in logistics for (international) business trips, including liaison with travel agency regarding accommodation, flights and travel advice;
  • Liaison with consular offices regarding visas needed for international business trips;
  • Booking of external appointments seeking efficiency;
  • Processing and distributing daily mail;
  • Ensuring the front office’s needs are met in including facility management, office supplies, etc.

Job requirements

Essential skills and experience

  • Bachelor’s degree and/or equivalent professional experience in executive support, secretarial support, office management, events, hospitality or related field;
  • Experience providing administrative / diary / executive support to a senior individual, ideally CEO level, in any field;
  • Interest in climate change, international development and international relations;
  • Ability to work under pressure and deliver to deadlines, while maintaining accuracy and rigour;
  • Strong organizational skills that reflects ability to perform and prioritize multiple tasks seamlessly in a dynamic and international/intercultural environment with shifting priorities;
  • Excellent written and spoken English; Dutch an advantage;
  • Demonstrated proactive approaches to problem-solving;
  • Willingness to work in a fast-paced organization;
  • Flexibility and ability to adapt to a highly dynamic work environment;
  • Excellent interpersonal and communication skills;
  • Discretion in handling confidential matters;
